Job Description

The Clinical Relations Specialist provides administrative support to the academic programs with clinical requirements: such as Diagnostic Medical Sonography, Radiologic Technology, Respiratory Therapy and Nursing. The Clinical Relations Specialist reports to the Dean of Education. This position is responsible for maintaining correspondence between clinical agencies, maintaining student clinical paperwork per the medical facility, including the management of My Clinical Exchange. This person will serve as the direct contact for the hospitals once recruited. They are responsible for managing the hospital experience with Charter College, ensuring that they have excellent customer service and ensuring Charter College gets all the required information back from the hospitals.

DUTIES AND RESPONSIBILITIES:

• Manage and store clinical affiliation agreements.
• Handle changes to the contract and renewals
• Ensure all required documentation is submitted to the clinical sites correctly and in a timely manner.
• Serve as go to answer site questions or concerns.
• Provides clinical and lab handbooks to preceptors and lab instructors.
• Coordinates student and preceptor schedules
• Ensure lab attendance and clinical timecards are gathered and entered in a timely manner.
• Ensures skills checks offs, surveys, evaluations are gathered and entered in a timely manner.
• Works with marketing team to onboard new clinical sites
• Works with marketing team to provide continuing site spot availability.
• Works with program leadership to ensure student onboarding, and successful matriculation.
• Complete duties as assigned by the Deans /Program Directors of the clinical programs.
• Create clinical assignments for each cohort by clinical location and instructor.
• Maintain nursing instructor contact information and availability schedule.
• Maintain student and faculty files in MyClinicalExchange each term.
• Prepare documents for clinical partners as needed

JOB DESCRIPTION:

• Maintain student and faculty clinical and HIPAA files.
• Compile and maintain the demographic data sheet for all cohorts including list of personal emails.
• Collect data on program outcomes 6 months after graduation.
• Schedule clinical orientation for each location, faculty, and student each term.
• Schedule clinical drug screening per the individual clinical location’s requirements.
• Ensure clinical badges are available to students and instructors in a timely manner. Track and return clinical badges to the correct facility as required by the clinical partners
• Reviews immunization and medical documents as needed with the Dean/Program Director of the clinical program for interpretation.
• Maintain student data sheet on new and existing students, notify students 3 months in advance of expiring documents.
• Maintains confidentiality of student and faculty records.
• Prepare and distribute memoranda and other correspondence to faculty, staff and students as needed.
• Perform other duties as requested.

JOB QUALIFICATIONS AND SKILLS:

• 2 years of demonstrated exceptional customer service.
• Must be highly organized and detail oriented.
• Experience in a medical setting is a plus.
• Must demonstrate initiative and the ability to be a self-starter.
• Must be proficient with Microsoft Office suite.
• A positive attitude and interpersonal skills are required.
• Strong commitment to serving the clinical partner's needs.
• Ability to work in a fast-paced environment required

COMPENSATION:

• Non-Exempt - hourly position.
• $27.00 - $33.00/ Hourly.
• Compensation dependent on experience, knowledge, and education level.
